DropPage - your custom website

DropPage is from the PaperOffice 2020 version an integrated module and part of the PaperOffice Plus Online Services, which allows direct document networking between your PaperOffice interface and you (or your customers) from anywhere.

Please note: DropPage is the module integrated in the PaperOffice 2020 version and part of the PaperOffice Plus Online Services. To use PaperOffice Online Service you need the latest release for compatibility reasons.

DropPage enables your users to upload files and documents of any kind directly to PaperOffice via a website that is freely personalized by you, the so-called “DropPage”. You can set up several user-defined pages and assign different rules to each page and automatically store document information.

DropPage settings and appearance

Enter your desired DropPage address, which you would like to use later, on the right after the address https://droppage.paperoffice.com/. You must observe the minimum length of 10 characters and permitted characters such as a-z, 0-9, -, _. Such as https://droppage.paperoffice.com/mycompany

Click the button next to it that says "Check Availability" to check the availability of this page.

If the page you want is available, a green message "Successful" will appear below - which means you can use this address.

In the event that the message "Error: DropPage address cannot be used" is displayed, the address you entered cannot be used. Enter a different one and try again.

Now, as the next step, enter the heading for your page. As shown in the following figure, this is indicated under the logo, which you can also define later.

Now enter the description for your website. This can be as well as special instructions and brief information for you or if necessary. Include your customers.

In addition to the headline and description, you can design the button for your page. You can also define a free name for this. The button has the function of sending the documents or transferring them to your PaperOffice interface and only appears when at least one file has been made available for upload.

Enter your password

If you activate this option by entering a password in the field, every user who sends files via the DropPage page must enter the password you have specified.

DropPage Logo

Personalize your page by uploading your company logo. This is how it will be displayed on your DropPage page. Simply click on the demo logo with the left mouse button and select your logo in the next step.

Background color

Specify the background color for your page here by clicking on the color palette with the left mouse button and selecting a color.

Approved file formats

Specify here which file formats you want to allow. You can choose “All file formats supported by PaperOffice”, or the following combinations, such as only “PDF”, “PDF, TIF, JPG, PNG”, or “PDF, TIF, JPG, PNG, TXT, DOC, DOCX, XLS, XLSX " allow.

After the file formats have been specified and the changes have been saved, only these formats can be uploaded via the custom DropPage page.

Maximum file size

Select the maximum permissible file size for the uploads here.

Maximum number of files per upload

Select the maximum number of files you want to allow here. This means that you or your customers can only upload the number of documents that you specify here at the same time.

DropPage notes after completion

Enter the comment here that will be displayed as soon as you or your customers have sent the files. Here you can show brief information about what happens afterwards, such as "Thank you for the documents. We will be in touch shortly. "

Before you save your details and preview your DropPage page, it is important that you define the storage mask as the next step for this page.

Filing mask: PaperOffice Intelligent Filing (PIA)

The PIA module integrated in PaperOffice helps you with the automated processing of your files. As a next step you can define the filing method (filing mask) for your DropPage page:

- Show storage dialog: New documents are analyzed by PIA, automatically tagged and displayed for completion.

- Only if unknown: As "Show storage dialog", but the PIA storage dialog is only displayed if the document could not be recognized.

- Never show: PIA is started in the background, automatically stores all documents in the background and is only displayed in the event of errors. Activate the radio button if you want to use a specific storage mask for your DropPage and select the necessary storage mask from the list as the next step.

- Switched off and optimized for mass imports: PIA is not used and new documents are stored directly in the target folder without analysis. Activate the radio button and, as the next step, select a specific folder for storage by clicking on the "Select from folder list" button.
Now select the folder directly in the folder tree and click on it with the left mouse button.

Assign workflow : In addition to the standard folder from the previous step, you can also assign a workflow. This workflow is activated automatically as soon as the document is stored in the folder. This assignment is optional.

Assign status : Activate this option if you want to automatically assign a document type by selecting it in the selection list. The status can only be assigned if you have not selected a workflow in the previous step or if the workflow you have selected does not contain an automatic action such as the assignment of a document status. This assignment is optional.

Assign document type : Activate this option if you want to automatically assign a document type by selecting it in the selection list.

Enter a name for the monitoring

Now enter the name for the DropPage monitoring. The designation is shown to you in the previous table when listing all of your existing intelligent monitoring systems.

Testing: Preview of the DropPage page

Scroll up again until you hit the button labeled "Test 1) Save and open DropPage in the browser". Click on this and save your page on the next prompt.

A new browser window opens with the preview of your custom DropPage page.

Test: Process documents from the DropPage page

Your DropPage page is only active if you activate the monitoring below. You can also do a so-called test run by first opening the page, then dragging the test file onto the page, clicking the "Upload documents" button (or with another name from the previous step) and then clicking the "Test 2) Save and Process uploaded files ”.

The next step is to establish a connection to the DropPage page and process the document you previously uploaded.

Activate DropPage page

Your DropPage page is not active and cannot be used until you check the box labeled "Monitoring activated". Set the check mark with the left mouse button. If you want to deactivate your DropPage page later or set it to inactive, remove the checkmark.

This concludes your settings for your custom page. You still need to add this page by clicking “Add”.
